Policy
Purpose
Reed Research Limited is committed to providing a respectful, inclusive, and accessible environment for employees, clients, contractors, and visitors. We recognize the importance of removing barriers and ensuring that individuals with disabilities are treated with dignity, independence, and fairness in all aspects of our operations.
This policy has been developed in accordance with the Accessibility for Ontarians with Disabilities Act, 2005 (“AODA”) and reflects our commitment to providing accessible services, communications, and workplace practices wherever reasonably possible.
Our Commitment to Accessibility
Reed Research Limited strives to provide services and conduct business in a manner that respects the individual needs of persons with disabilities. We are committed to ensuring that accessibility considerations are integrated into our workplace practices, communications, and service delivery.
We believe accessibility is achieved through professionalism, respect, flexibility, and open communication. Our goal is to identify and reduce barriers that may limit participation or access for individuals with disabilities. 2023 Accessibly Compliance Report.
Scope
This policy applies to all employees, contractors, consultants, volunteers, and any individuals acting on behalf of Reed Research Limited.
While Reed Research Limited is not generally open to the public, the organization remains committed to providing accessible interactions, communications, and workplace accommodations where required by law and reasonably practicable.
Accessible Customer Service
Reed Research Limited will make reasonable efforts to ensure that individuals with disabilities are able to access our services in a manner that respects their dignity and independence.
Where appropriate, alternative methods of communication or service delivery may be used to accommodate individual accessibility needs. Employees and representatives of the company are expected to communicate respectfully and in a manner that considers the nature of an individual’s disability.
Persons using assistive devices, support persons, or service animals permitted by law will be accommodated wherever reasonably possible and in accordance with applicable health, safety, privacy, and operational requirements.
Service animals accompanying individuals with disabilities are welcome in areas of the workplace or business premises that are accessible to clients, visitors, or employees unless otherwise prohibited by law. Where it is not readily apparent that an animal is a service animal, Reed Research Limited may request appropriate documentation confirming that the animal is required for reasons relating to a disability.
The individual accompanied by a service animal is responsible for the care and control of the animal at all times. Where health or safety concerns arise, including severe allergies or operational limitations, Reed Research Limited will make reasonable efforts to explore alternative arrangements that accommodate the needs of all individuals involved.
Workplace Accommodation
Reed Research Limited is committed to supporting employees with disabilities throughout the course of employment, including recruitment, hiring, training, performance management, and return-to-work processes.
Accommodation requests will be reviewed individually and handled in a respectful and confidential manner. The company will work with employees to identify reasonable accommodations that support accessibility while considering operational requirements and workplace safety.
Accessible Communication and Information
Upon request, Reed Research Limited will make reasonable efforts to provide information and communications in accessible formats or with appropriate communication supports.
The company will consult with the individual requesting accommodation to determine the most suitable and practical method of providing accessible information. Accessible formats and communication supports will be provided in a timely manner and at no additional cost beyond any standard charges that may apply.
Training
Reed Research Limited provides accessibility awareness training to employees and individuals acting on behalf of the organization as required under the AODA.
Training includes an overview of accessibility principles, the requirements of applicable accessibility standards, and the obligations relating to persons with disabilities under the Ontario Human Rights Code.
Training is provided as part of onboarding and updated as necessary when policies, legislation, or workplace practices change.
Feedback Process
Reed Research Limited welcomes feedback regarding accessibility within our workplace, communications, and services.
Feedback may be provided in person, by telephone, by email, or in writing via our Feedback form.
The company will make reasonable efforts to ensure that the feedback process remains accessible to
individuals with disabilities.
All accessibility-related feedback will be reviewed and responded to in a timely and respectful
manner. Where appropriate, responses will be provided in accessible formats or through
communication supports that consider the individual’s needs.
Temporary Disruptions and Emergency Response
Where reasonably applicable, Reed Research Limited will make reasonable efforts to communicate temporary disruptions affecting accessible services, communications, workplace access, or facilities.
Notices may be provided by email, telephone, posted notices, or other appropriate communication methods and will include information regarding the nature of the disruption, anticipated duration, and any available alternatives.
Reed Research Limited is also committed to supporting employees with disabilities during workplace emergencies. Where the company becomes aware that an employee may require assistance in an emergency situation, individualized workplace emergency response information will be provided as appropriate and with the employee’s knowledge and participation.
Emergency response information will be reviewed when accommodation needs or workplace arrangements change and will be handled in a respectful and confidential manner.
Policy Review
Reed Research Limited will review this policy periodically and make updates as required to ensure continued compliance with accessibility legislation and evolving workplace practices.
